Payment Operations Specialist
About the role:
The Payment Operations Analyst role at Paysend plays a key role in the day to day running of US Operations. The successful candidate will become an Subject Matter Expert and integral to the Operation with deep knowledge of our processes, procedures, vendors and further understanding how we support our internal functions.
The role is highly varied and on a daily basis and on a daily basis could manage:
- Daily office processing tasks
- Operational Readiness of a new product or market (Preparing documentation and completing testing)
- Supporting relationships at an operational level with our key vendors
- Issue management (client complaints/ disputes, technology issues, vendor support requests )
- Always Audit Ready - Operational Readiness to support Internal and external audit requests
The candidate will have a critical eye on operational processes and will drive continuous process improvements. This may be by working alone or via seamless coordination across internal teams and external partners to fulfil tasks.
A high level of attention to detail and proactive follow-through are essential to succeed in this role. The analyst will also directly support the Americas Head of Operations with various operational initiatives and execution of key priorities.
What You'll Do (Responsibilities):
- Support Leadership: Support the Americas Head of Operations in day-to-day tasks, project execution, and tracking of operational initiatives across teams.
- Cross-Team Collaboration: Serve as a central point of contact to ensure efficient coordination between departments including operations, marketing, legal, Compliance, Finance and Product. Proactively follow up on tasks and requests to ensure timely completion.
- Issue Escalation and Resolution: Investigating and responding to vendor issues in a timely way keeping all key stakeholders informed. Communicate client feedback and operational issues to the appropriate teams, following up to ensure timely resolution and closure.
- Process Improvement: Identify inefficiencies and recommend actionable solutions to streamline operational workflows. Further, building and optimising scalable operations processes to prepare the region for projected growth
- Training and Support: Provide guidance and training to team members on operational best practices, including one-on-one and group support sessions. The applicant will be excited to learn about Paysend’s existing and new products so as to be able to deliver Operational Excellence in their level of support.
- Document Management: Draft and manage key Operational documentation. Ensuring all documentation is accurate, complete, and up to date.
- Jira Coordination: Maintain detailed and accurate records in Jira, supporting alignment, traceability, and transparency across various functions.
- Regulatory Requirements - Supporting operational processes and deliverables in relation to reporting and submissions
What You'll Need To Be Successful In This Role:

- Excellent attention to detail and organizational skills.
- Ability to manage multiple priorities with effective time management and follow-up.
- Proactive and solution-oriented mindset.
- Keen to learn about Paysend products & services and inquisitive in operational flows
- Proficiency with tools such as Confluence, Smartsheets and Jira
- Strong Problem Solving ability - look to the component parts of an issue in order to find a solution
Preferred Qualifications:
- Proven experience in Payment Operations (Finance / Fintech Payment Firm) required
- Background in document management and process optimization.
- Experience of Maintaining a tight controls environment - Identify and evaluate threats to the operation, develop alternative courses of action to avoid or reduce risk
