Operations Analyst
About the role:
The Operations Analyst at Paysend plays a key role in improving operational efficiency and ensuring seamless coordination across internal teams and external partners. This role involves managing critical documents and marketing materials, facilitating cross-functional communication, and driving process improvements. The analyst will work with tools such as Smartsheets and Jira to maintain records, track follow-ups, and support effective collaboration. A high level of attention to detail and proactive follow-through are essential to succeed in this role. The analyst will also directly support the Americas Head of Operations with various operational initiatives and execution of key priorities.
Key Responsibilities:
- Support Leadership: Assist the Americas Head of Operations in day-to-day tasks, project execution, and tracking of operational initiatives across teams.
- Cross-Team Collaboration: Serve as a central point of contact to ensure efficient coordination between departments including operations, marketing, legal, and product. Proactively follow up on tasks and requests to ensure timely completion.
- Document Management: Manage the daily upload and meticulous review of key materials, such as marketing collateral, legal and product documentation, and vendor records, using Smartsheets. Ensure all documentation is accurate, complete, and up to date.
- Jira Coordination: Maintain detailed and accurate records in Jira, supporting alignment, traceability, and transparency across various functions.
- Meeting Participation: Actively contribute to weekly Americas meetings and other operational calls to stay aligned on priorities and strategic direction. Prepare follow-up action items and track completion.
- Issue Escalation and Resolution: Communicate client feedback and operational issues to the appropriate teams, following up to ensure timely resolution and closure.
- Process Improvement: Identify inefficiencies and recommend actionable solutions to streamline operational workflows.

Training and Support: Provide guidance and training to team members on Jira usage and operational best practices, including one-on-one and group support sessions.
Required Skills and Qualifications:
- Proven experience in operations or a similar role.
- Proficiency with project management tools such as Smartsheets and Jira.
- Strong communication and collaboration skills.
- Excellent attention to detail and organizational skills.
- Ability to manage multiple priorities with effective time management and follow-up.
- Proactive and solution-oriented mindset.
Preferred Qualifications:
- Experience working with external partners or in a financial services setting.
- Background in document management and process optimization.
